DartConnect enables small events to elevate the player experience, while larger events can also benefit from fewer control desk staff. When appropriate, DartConnect recommends leveraging this opportunity to deploy personnel to the event floor to keep competitions running on time.

Tournament Director
For any size event, the Tournament Director is the guiding force for planning, preparation and execution. The director should be familiar with all aspects of the Digital Steel platform, with the ability to assist staff as needed.

Venue Preparation
An event’s size and staff experience will determine the resources required to run a DartConnect event. Plan ahead to secure the required hardware and staff for set up, maintenance and break down.

Setup Team Responsibilities

Scorekeeping Tablets:
- Powering up tablets, connecting to WiFi and logging into the scoring app
- Mounting tablets next to each board, connected to power outlets

ProTip: If using your own tablets, ensure the DC scoring application is pre-loaded and logged into the tournament before arriving at the venue.

Onsite Registration:
- Registration Kiosks (Tablets) & Cashier Station (PC)
- Optional “Desk Check In” Stations

Registration & Player Check-In
For events with onsite registration and payment, DartConnect provides a paperless enrollment process. Players self register at a kiosk tablet, then proceed to a cashier who accepts payment and confirms each entry. This is especially useful for large tournaments that feature multiple, concurrent events.

Events with Pre-Registration can use the optional “Desk Check-In” feature to confirm player’s on site attendance before the draw, minimizing byes.

ProTip: For larger events with onsite registration and payment, peak periods will require extra staff to assist players and manage queues. Less effort is required as the weekend progresses, with players becoming familiar with the kiosk/cashier process.

Registration Team Responsibilities:
- Setting up registration kiosks, cashier stations and/or desk check-in stations
- Assisting first time DartConnect event players with the process
- Confirming player registrations and accepting payments
- Distributing prize money to winners

ProTip: Simulate the entire registration process with your team using the provided practice tournament as a “dress-rehearsal” prior to the real event.

Control Desk: Bracket Operations
DartConnect transforms the demanding nature of the control desk into an efficient monitoring operation. While the fundamental tasks of running a competition remain the same, going digital means eliminating paper, having access to the real-time status on every board, and no longer chasing players for match results.

ProTip: One experienced operator can comfortably run two competitions simultaneously. New users should limit themselves to running a single competition until they gain experience.

Bracket operators no longer have to stand for long hours moving paper slips on wall-sized boards, and can manage the entire competition while comfortably seated at their PC.

Bracket Operation Team’s Responsibilities:
- Finalizing and approving player entry lists
- Verifying ranking and seeding for sanctioned events
- Creating competitions and generating draws
- Monitoring board assignments and match results
- Overseeing player support as needed

Player Support
Regardless of player experience, providing support is a key ingredient for running a smooth DartConnect-powered event. The Player Support Team should be comfortable with operating tablets, confirming tablet WIFI connectivity, and the DartConnect scoring app.

Player Support Team’s Responsibilities

“Peak Times” of Registration and Opening Round Matches:
- Assisting players with registration process, managing queues
- Directing players to assigned boards, minimizing match delays
ProTip: Once registration is closed, consider reassigning available staff to “player support” for the opening rounds of competition.

Player Assistance During Competitions:
- Match setup
- Scorekeeping help
- Resolving absent players or score keepers
Tablet Maintenance & Troubleshooting:
- Confirming WiFi Connections
- Checking Power Connectivity
- Replacing Tablets if Required

Using “Board Group Format”

DartConnect recommends assigning 1 “floor official” per 8 board group to maximize the time saving and player-friendly benefits of this approach.

Streaming / Finals Production
When live streaming matches or conducting final rounds on a stage for an in-house audience, technical staff and stage managers should leverage DartConnect’s specific support tools and features effortlessly provide a professional experience.

ProTip: To simplify production scheduling, bracket operators can assign matches to a “special board” that is designated for streaming or stage matches.

The production team can access the following tools through DCTV:
- On-screen “TV Scoreboard”
- Special “Stage Scoreboard” for referees, players and audiences (as seen at the WDF Lakeside World Championships)

Additional Staffing Considerations

Number of Events & Concurrent Events – For events that only have 1 or 2 competitions (ex: Men’s and Women’s singles only), fewer staff will be required. If there are multiple overlapping events, consider additional staff for registration, bracket operation and player support.

Multi-Room Tournaments – If the venue layout has boards located in multiple rooms or floors, consider designating an event staff and/or DCTV display monitor in each room to assist players. The goal for every event should be to eliminate the need for the player to travel back and forth to the control desk to resolve questions or event issues.

Player Experience Level with DartConnect – Player comfort level with DartConnect will affect the number of resources required. Events with experienced players need fewer staff, as players will assist each other with common tablet and scorekeeping questions. Regions with local leagues using DartConnect will find their events running very smoothly.

Board Group Formats – Typically used for seeded, long-format singles competitions (WDF, PDC), the “Board Group” format streamlines events and allows players to accurately monitor when their match will be played. A best practice is to assign staff as “floor officials” to monitor a section of boards during the early rounds, to ensure matches start on time while assisting players. Experienced event organizers should consider extending this format to all event competitions, as it provides consistent tournament progression.
